Alumni Fundraising with UPI in India: A Practical Guide for Schools and Colleges
By CA Shrenuj Jalan, Founder, Connect My Alumni · Updated on

Why does UPI suit alumni fundraising in India?
The Unified Payments Interface, operated by the National Payments Corporation of India (NPCI), lets people pay instantly from a bank account using a mobile app and a UPI ID or QR code. For an alumni office, that removes the biggest friction in giving: an alumnus who decides to support a scholarship fund during a reunion can do it in under a minute from their phone, without typing card numbers or setting up a bank transfer.
UPI is particularly well suited to the kind of giving most Indian schools and colleges see: many modest gifts from a broad base of alumni, often prompted by an emotional moment such as a batch reunion, the retirement of a favourite teacher or an appeal for a classmate in need. Larger gifts from senior alumni often still move by bank transfer or cheque, so a good campaign accepts both.
QR code, UPI ID or payment gateway: which should you use?
There are three common ways to accept UPI donations, and they differ mainly in how much information you get about the donor. The choice matters more than it looks, because the donor record drives your receipts, your thank-you messages and your next appeal.
| Method | How it works | What you learn about the donor | Best for |
|---|---|---|---|
| Static QR code or UPI ID | Donor scans or types the institution’s UPI ID and pays any amount | Usually only the payer’s name or VPA in the bank statement | Very small, informal collections |
| Dynamic QR or payment link | A unique link or QR is generated per request or campaign | Amount and reference; donor details only if you collect them separately | Event counters, one-off appeals |
| Gateway-backed campaign page | Donor fills a short form, then pays by UPI, card or net banking | Name, email, phone, batch, purpose and payment reference in one record | Named campaigns, receipts and reporting |
How do you set up a UPI donation campaign?
Treat every appeal as a campaign rather than a standing ‘donate’ button. A campaign has a name, a purpose people can picture, a target amount, a start and end date and an owner who is accountable for updates. ‘Library renovation for the 2026 golden jubilee’ will always outperform ‘Support your alma mater’.
Before launch, confirm which legal entity will receive the money: the institution’s trust or society, or a separately registered alumni association. That entity’s bank account must be linked to the payment gateway, and that entity issues receipts. Mixing the two causes reconciliation and tax problems later.
- Write a one-paragraph case for support: what the money will do and how you will report back.
- Set suggested amounts that match your community, and allow a custom amount.
- Collect only the fields you need: name, email, phone, batch, and PAN only if your receipting process requires it.
- Add a consent line explaining how donor details will be used, in line with the DPDP Act.
- Test a full payment and refund in the gateway’s test mode before going live.

How do you promote a UPI appeal to alumni?
UPI works best when the ask reaches alumni on their phones at the moment they feel connected. Share the campaign link in batch WhatsApp groups through class representatives rather than from an anonymous institutional number. Put the QR code that opens the campaign page, not a bare UPI ID, on reunion standees and event screens. Follow up by email with a progress update and a named thank-you list for donors who agree to be listed.
Batch challenges, where each graduating year tries to reach a target or participation level, work well in schools and colleges because alumni identify strongly with their batch. Keep the competition friendly and celebrate participation, not only the largest amounts.
How do you reconcile UPI donations and issue receipts?
Every donation should exist as one record that links the donor, the amount, the campaign, the payment reference and the receipt number. A gateway-backed campaign creates this record automatically; your job is to check, at least weekly, that the gateway’s settlement report matches the bank statement and that failed or refunded payments are marked correctly.
Send an acknowledgement email immediately after payment and a formal receipt from the receiving entity. If the entity holds an 80G approval, donors may be able to claim a deduction, but the rules on what qualifies and what certificate is needed are set by the Income Tax Department and change over time. Verify with the official source and your chartered accountant before promising any tax benefit.

What about alumni donating from abroad?
UPI is designed primarily for payments from Indian bank accounts, although NPCI has been extending UPI to some international users and corridors; check NPCI’s current information for what is supported. More importantly, contributions from foreign sources to Indian organisations are regulated under the Foreign Contribution (Regulation) Act, which generally requires FCRA registration or prior permission and a designated bank account. Whether a gift from a non-resident Indian counts as a foreign contribution depends on the facts, so take professional advice before running an international appeal.

Common mistakes to avoid
Most UPI fundraising problems are operational rather than technical. The list below covers the mistakes we see institutions try to avoid when they plan their first digital campaign.
- Printing a personal UPI ID of a committee member instead of an institutional account.
- Using a static QR with no way to identify donors, then struggling to send receipts.
- Running campaigns with no end date, so there is never a moment to celebrate and report.
- Promising tax deductions without confirming the receiving entity’s 80G status.
- Not thanking donors quickly; a prompt, personal thank-you matters more than the receipt.
- Keeping donor data in personal phones and spreadsheets without access controls.

How Connect My Alumni supports UPI campaigns
Connect My Alumni’s donations module lets you create named campaigns with goals and progress bars, accept UPI, cards and net banking through a Razorpay integration, and keep each donation linked to a verified alumni profile. Donors get automatic acknowledgements, admins can export donation records for receipting and accounts, and campaign analytics show progress by batch. The Starter plan is free for small communities and paid plans are listed on the pricing page.

Frequently asked questions
Can we accept alumni donations on a UPI QR code?
Yes, but a static QR collects money without donor details. Use a QR that opens a campaign page or gateway form so you capture name, email and batch for receipts and thank-yous.
Which account should UPI donations go to?
The bank account of the legal entity running the campaign, usually the institution’s trust or society or a registered alumni association. Never use a personal account.
Are UPI donations eligible for 80G deduction?
Donations by non-cash modes such as UPI can qualify if the receiving entity holds valid 80G approval and conditions are met. Confirm current rules with the Income Tax Department or a chartered accountant.
Can alumni abroad donate by UPI?
Support for international UPI users is limited and evolving; check NPCI. Foreign contributions may also need FCRA registration or permission, so take advice first.
How often should we reconcile UPI donations?
At least weekly during active campaigns: match the gateway settlement report to the bank statement and mark failed or refunded payments.
