NIRF and Alumni Data: What Graduate Outcome Records Matter for Rankings
By CA Shrenuj Jalan, Founder, Connect My Alumni · Updated on

What is NIRF and where does alumni data fit?
The National Institutional Ranking Framework (NIRF), launched by the Ministry of Education, ranks higher education institutions in India using five broad parameter groups: Teaching, Learning and Resources (TLR); Research and Professional Practice (RP); Graduation Outcomes (GO); Outreach and Inclusivity (OI); and Perception (PR). Rankings are published in several categories, such as overall, university, college and discipline-specific lists.
Alumni do not appear as a single named parameter, but data about what graduates do after leaving is central to Graduation Outcomes, and an institution’s reputation among employers and peers feeds Perception. Weightages and sub-parameters differ by category and can change, so always read the current methodology document for your category.

Which NIRF parameters relate to alumni?
The table below is a general orientation to where graduate and alumni information is relevant. It is not a substitute for the official methodology.
| Parameter | Alumni-related data | What to keep |
|---|---|---|
| Graduation Outcomes (GO) | Placement of graduates, progression to higher studies, salary information for placed graduates, and examination outcomes | Student-wise records with offer letters, admission proof and salary evidence |
| Perception (PR) | How employers, academics and the public see the institution | Employer relationships, many of which run through alumni |
| Research and Professional Practice (RP) | Not alumni-specific, though alumni collaborations can contribute to professional practice | Records of collaborations and consultancy |
| Outreach and Inclusivity (OI) | Not alumni-specific | Not applicable to alumni tracking |
What graduate outcome data should you track?
For each graduating student, keep a record of their outcome and the evidence behind it. The placement cell usually captures campus placements, but many students take jobs off-campus, start businesses or go for higher studies months after graduating. An alumni system that asks graduates to update their status, and stores proof, fills that gap.
- Programme, year of admission and year of graduation
- Outcome: placed, higher studies, entrepreneurship, other, or unknown
- Employer name and role, with offer or appointment letter
- Salary information as required by the current data format, with documentary support
- Higher studies institution and programme, with admission proof
- Date the information was collected and how it was verified
How do you collect outcome data from graduates?
Ask early and make it easy. Collect personal email and phone numbers before students graduate, explain why you need outcome information, and get consent. Then send a short update request a few months after graduation and again before the data submission window. Allow graduates to upload documents through a secure form rather than over WhatsApp. Faculty mentors and class representatives can nudge classmates who have not responded.
Because this is personal data, including salary information, handle it under India’s DPDP Act: tell graduates what you collect and why, restrict access, and keep it only as long as needed.

Accuracy and verification
NIRF publishes the data institutions submit, and institutions are responsible for its accuracy. Never estimate or round figures you cannot support. Reconcile numbers across the placement cell, examination section and alumni office before submission, and make sure the same student is not counted in two outcome categories.

How alumni engagement supports perception and outcomes
Engaged alumni help in ways that indirectly support rankings: they refer juniors for jobs and internships, bring recruiters to campus, mentor students for higher-studies applications and speak well of the institution to peers and employers. Running an active mentorship programme and job board is good practice regardless of rankings.

A simple annual routine for graduate outcome data
Most of the effort in outcome reporting comes from chasing graduates at the last minute. A predictable routine spreads the work across the year and improves accuracy.
- Before graduation: confirm personal contact details and consent for each final-year student.
- At graduation: record campus placement and confirmed higher-studies admissions with documents.
- A few months later: send an update request to graduates whose outcome is still unknown.
- Before the submission window: reconcile records across the placement cell, examination section and alumni office.
- After submission: archive the evidence set with the submitted figures for future reference.
How Connect My Alumni helps
Connect My Alumni gives each graduate a self-updated profile with work history and education, verified against your records. Admins can export batch-wise data on current occupation and further studies, run update campaigns through email and WhatsApp, and use the job board to track alumni-referred openings. The platform does not submit data to NIRF; your institution remains responsible for its submissions.

Frequently asked questions
Is alumni engagement a NIRF parameter?
Not as a named parameter. Graduate outcomes such as placement, higher studies and salary data fall under Graduation Outcomes, and reputation falls under Perception.
What alumni data does NIRF use?
Mainly outcome data about recent graduates, as specified in the current data format. Check the methodology for your category on nirfindia.org.
How should we verify placement and higher studies data?
Keep student-wise records with offer letters, admission letters and salary evidence, and reconcile figures across the placement cell and alumni office.
Can alumni software submit NIRF data?
No. Software helps collect and organise graduate data, but the institution prepares and submits NIRF data and is responsible for its accuracy.
